How Nova Tax LLC collects, uses, stores, and protects your personal and tax information when providing tax return preparation, bookkeeping, payroll, and business registration services.
Nova Tax LLC (“the Company,” “we,” “us”) respects the privacy of our clients and understands the sensitivity of the information you entrust to us in connection with tax return preparation, bookkeeping, payroll processing, and business registration. This Privacy Policy explains what information we collect, how we use it, to whom and under what conditions we may disclose it, how long we retain it, and what rights you have with respect to that information.
This Policy applies to all clients and visitors of the Nova Tax LLC website, regardless of state of residence, and works together with the separate written consent for the disclosure or use of tax information that you sign before we begin work — see the “Disclosure of Tax Information” section below.
We may collect the following categories of information:
We do not request passwords, credit or debit card details, or other highly sensitive information through the website — such information is only ever provided directly, in person, or through our secure client portal.
We use the information we collect to:
We do not use or disclose tax information for marketing or other purposes unrelated to providing services without the client’s prior written consent.
As a tax return preparer, Nova Tax LLC is required to comply with Section 7216 of the Internal Revenue Code (26 U.S.C. § 7216) and the corresponding U.S. Treasury regulations. This section restricts the use and disclosure of information obtained or prepared in connection with the preparation of a tax return.
Without the client’s separate written consent, we do not use tax information for purposes unrelated to preparing and filing your return, and we do not disclose it to third parties — except in cases the law expressly permits without consent, including:
In all other cases — including sharing data with providers located outside the United States, using information for marketing purposes, or any other disclosure unrelated to return preparation — we will ask for your separate written consent, in a form that meets IRS requirements. Such consent is valid for no more than one year from the date signed, unless it specifies a different period, and you may revoke it at any time by notifying us in writing.
Declining to give such consent does not affect the quality or availability of the return-preparation service itself — that service is provided regardless of your decision.
As a provider of financial services (including tax preparation), Nova Tax LLC is subject to the Gramm-Leach-Bliley Act (GLBA) and complies with the Privacy of Consumer Financial Information Rule, as well as the Federal Trade Commission’s Safeguards Rule (16 C.F.R. Part 314).
We do not sell or rent your personal or tax information to third parties.
We may disclose nonpublic personal information to the following categories of recipients, and only to the extent necessary for the stated purposes:
If we begin disclosing information to unaffiliated third parties beyond what is listed above, for purposes that require an opt-out right under the GLBA, we will notify you and provide a reasonable way to opt out of that disclosure.
We maintain administrative, technical, and physical safeguards designed in accordance with the FTC Safeguards Rule, including restricting access to client data to authorized personnel only, using secure channels for document transmission, regularly updating software, and training staff on handling confidential information. The Company maintains a Written Information Security Program (WISP), which is reviewed on a regular basis.
Despite these measures, no method of transmitting data over the internet or storing it electronically is completely secure — we cannot guarantee absolute security, but we commit to promptly notifying you in the event of an incident affecting your personal information, as required by applicable law.
We retain tax and financial records for as long as needed to comply with IRS and state requirements — generally at least 3 years from the date a return is filed, and longer for certain documents where required by law or sound business practice. Once the applicable retention period expires, data is deleted or securely destroyed.
Regardless of your state of residence, you may ask us at any time for:
If you are a resident of a state with its own consumer privacy law (such as the California Consumer Privacy Act and similar laws in other states), you may have additional rights under your state’s law, including the right to information about the categories of data collected and the right to opt out of the sale of personal information. As a reminder, Nova Tax LLC does not sell clients’ personal information under any circumstances.
To exercise any of these rights, contact us using the details in the site footer or on the Contact page.
If you consent to receive email newsletters, text messages, or other informational or marketing communications from us, we use your contact information solely in accordance with that consent and applicable law, including the CAN-SPAM Act and the Telephone Consumer Protection Act (TCPA). You may opt out of these communications at any time — by using the unsubscribe link in an email, replying “STOP” to a text message, or notifying us directly. Opting out of marketing communications does not affect service-related notices necessary to provide the service you’ve requested.
Our services and website are not directed at individuals under 18, and we do not knowingly collect personal information directly from children under 13 in violation of the Children’s Online Privacy Protection Act (COPPA). Information about minor dependents provided by a parent or legal guardian in connection with return preparation is used solely for that purpose and is protected at the same level as all other tax information.
Our website may contain links to third-party resources, such as messaging apps or social media platforms. This Policy does not apply to those third-party sites and services — we encourage you to review their own privacy policies.
We may update this Privacy Policy from time to time — for example, when the law changes or our internal practices change. The current version is always posted on this page along with its effective date. We will separately notify existing clients of any material changes affecting how previously collected information is used.
